POSITION OVERVIEW
The Interpretive Programs Coordinator will play a crucial role in enhancing the visitor experience at the 9/11 Memorial & Museum by coordinating and managing private guided tour bookings. This full-time position involves working closely with the Director of Interpretive Programs to ensure the seamless delivery of high-quality, personalized tour experiences. The ideal candidate will be detail-oriented and possess excellent organizational skills, a passion for educational programming, and a commitment to providing outstanding customer service.
The Interpretive Programs Coordinator will also be responsible for supporting the daily logistics and operations of the Guided Tour program by facilitating morning meetings, assisting with trainings, assessing ongoing equipment needs, and leading tours, as needed. This is a full-time flexible position with a five-day work week, including one weekend day and will require some evenings and holidays.
ESSENTIAL FUNCTIONS
- Work closely with the Director of Interpretive Programs to manage the booking process for private guided tours including scheduling, payment processing, and confirmation communications with visitors.
- Maintain an up-to-date calendar of tour bookings and coordinate with the Assistant Manager of Interpretive Programs–Administration to confirm guide availability.
- Serve as a point of contact for visitors interested in private tours, providing detailed information and addressing inquiries promptly.
- Lead public and private guided tours, as needed.
- Assist with private tour check-in and facilitate visitor entry into the Museum.
- Tailor tour experiences to meet the specific interests and needs of diverse groups.
- Communicate with other departments (e.g., Marketing, Education, Operations) to coordinate private tour logistics and program needs.
- Monitor and evaluate the effectiveness of private tours through visitor feedback and internal assessments.
- Regularly report private tour updates and feedback to the Director of Interpretive Programs.
- Ensure all tours are conducted in a professional, informative, and engaging manner, maintaining the museum's high standards for accuracy and authenticity.
- Encourage and advocate for the needs of the Interpretive Guides.
- Support other departmental needs, including conducting routine tour assessments, facilitating morning meetings, and assisting with training, as needed.
QUALIFICATIONS
- Bachelor’s degree or equivalent combination of education, training, and experience.
- Experience in coordinating and delivering museum interpretive programs.
- Basic knowledge of museum engagement concepts and best practices.
- Reliable and able to follow tasks through to completion in a timely manner.
- Creative and adaptable, with the ability to handle multiple tasks simultaneously.
- Excellent writing and speaking skills with the ability to communicate appropriately and professionally.
- Highly organized and able to prioritize continually shifting tasks.
- Ability to accept guidance, direction, and supervision; able to meaningfully provide feedback and share ideas.
- Ability to take initiative and work well independently.
- Proficiency in using Microsoft Office Suite, and relevant database software.
- Able to engage professionally and appropriately with staff, volunteers, and the public.
- Must be available to work weekends, and some evenings and holidays.
- Must adhere to a policy of strict confidentiality in terms of information regarding 9/11 victims, bid documents, security and life safety incidents, and labor relations.
REQUIRED SUPPORT FOR ORGANIZATIONAL EVENTS
- Participate in the Annual 5K Fundraiser and 9/11 Commemoration, as assigned.
- Assist with other special projects and events in support of 9/11 Memorial & Museum, as assigned.
