Payroll Specialist

SALARY: $60-65K per year
Note: This is a full-time, hybrid role, requiring an onsite presence at our corporate offices in downtown Manhattan three days a week.
POSITION OVERVIEW
The Payroll Specialist is responsible for processing accurate and timely payroll for all National 9/11 Memorial & Museum staff. This role ensures compliance with federal and state payroll regulations, maintains detailed payroll records, and resolves payroll related issues or discrepancies. The Payroll Specialist works closely with the Human Resources and Finance teams to support smooth payroll operations, assists in the preparation of quarterly and annual reporting, researches and resolves system related issues, and responds to employee inquiries.
ESSENTIAL FUNCTIONS
- Process bi-weekly and off-cycle payrolls for hourly and salaried employees in accordance with all applicable laws, regulations, and organizational policies and procedures.
- Review and audit timesheets for errors and exceptions and work with managers to resolve discrepancies.
- Facilitate the exporting of data from the Time and Attendance system (Kronos) into the HR/Payroll system (UltiPro).
- Calculate pro-rated and/or retroactive compensation for new hires, terminated employees, and employees with status or salary changes.
- Work with the Benefits team to ensure all employee deductions are correct.
- Calculate and process vacation payouts.
- Record and process all garnishments and levies.
- Review and approve employee tax changes.
- Reconcile all earnings and deductions prior to transmitting the payroll.
- Ensure all tax rates in the payroll system are current.
- Sort and distribute live payroll checks, as necessary.
- Respond to all wage and salary verification requests.
- Ensure all employees’ W2s are finalized and distributed on time.
- Maintain all payroll and reconciliation files and reports.
- Remain up to date on federal, state, and local laws and regulations that affect payroll.
- Respond to employees’ inquiries regarding payroll related issues
- Identify payroll errors and discrepancies and initiate corrective action necessary to ensure data integrity.
- Run standard and ad-hoc reports at the request of the Senior Director, HRIS & Compensation.
- Assist in the research and resolution of system related issues.
QUALIFICATIONS
- Bachelor's degree preferred.
- Experience and proficiency with payroll systems (UltiPro preferred).
- Minimum 2 years’ experience with computerized payroll processing.
- Payroll certification a plus
- Working knowledge and application of applicable payroll tax and employment laws necessary.
- Proven ability to prioritize workload effectively, with a strong sense of urgency in executing tasks and meeting department deliverables.
- Ability to work independently as well as ability to coordinate with appropriate parties.
- Highly detail orientated, extremely organized, and self-motivated.
- Proficiency in Microsoft Office Application.
- Excellent Excel skills.
- Commitment and sensitivity to the need for confidentiality.

REQUIRED SUPPORT FOR ORGANIZATIONAL EVENTS
- Participate in the annual 5K fundraiser and 9/11 commemoration, as assigned.
- Assist with other special projects and events in support of 9/11 Memorial & Museum, as assigned.

- The Payroll Specialist is part of the Human Resources department. The HR team is comprised of eight individuals with different functions, and tenures within the organization.
